This Privacy Policy sets out how we collect, use and store your personal information, this means any information that can directly or indirectly identify you. This includes for example, a photograph of you, your telephone number and date of birth.
The Launchpad Collective's Privacy Policy may change so please remember to check back from time to time. This is version 2.0 and was last updated on 16 September 2026. Summary of changes: updated legal references to the Data Protection Act 2018 and the UK General Data Protection Regulation (UK GDPR), clarified lawful bases for processing, added security and breach-response practices, identified a responsible data protection contact, and modernised the cookie section. Here at The Launchpad Collective, we are committed to protecting your personal information and making every effort to ensure that your personal information is processed in a fair, open and transparent manner. Where we determine how and why personal information is processed, we act as the data controller and are responsible for complying with the Data Protection Act 2018 and the UK General Data Protection Regulation (UK GDPR).

We want to make sure you receive the communications that are most relevant to you when you have contact with The Launchpad Collective.

By completing our contact form, you provide your name, email address and comment so that we can respond to your enquiry. We will hold that information securely on our systems in accordance with UK data protection law and use it solely for the purpose of communicating with you, unless another lawful basis applies. We will not share this information with any third party without an appropriate lawful basis. The exception is where the comment is regarded as abusive, illegal or otherwise contravenes the terms of use of the site.
When you submit personal information through our contact forms, The Launchpad Collective is responsible for handling that information lawfully, fairly and securely as a data controller. Your personal information is kept private and stored securely until it is no longer required or has no use, in accordance with the Data Protection Act 2018 and the UK General Data Protection Regulation (UK GDPR). We use appropriate safeguards to protect information submitted through our forms and will use it only for the purposes explained in this Privacy Policy, unless another lawful basis applies.
We gather general information which might include which pages you visit most often, and which services or information is of most interest to you. We use this information to personalise the way our website is presented when you visit to make improvements and to ensure we provide the best service and experience for you.

We may collect your personal data through Social Media platforms by using your consent. We may share photographs, updates and events on social media, this will be done with your consent.
Communication, engagement and actions taken through external social media platforms that this website and its owners participate on are custom to the terms and conditions as well as the privacy policies held with each social media platform respectively.
Users are advised to use social media platforms wisely and communicate / engage upon them with due care and caution in regard to their own privacy and personal details. This website nor its owners will ever ask for personal or sensitive information through social media platforms and encourage users wishing to discuss sensitive details to contact them through primary communication channels such as by telephone or email.
This website may use social sharing buttons which help share web content directly from web pages to the social media platform in question. Users are advised before using such social sharing buttons that they do so at their own discretion and note that the social media platform may track and save your request to share a web page respectively through your social media platform account.

Personal Information
Personal information we collect may include (and is not limited to) details such as your name, email address, telephone number and bank details (only in cases you are the recipient of The Launchpad Collective funds as a volunteer or project co-ordinator), as well as information you provide in any communications between us. You will have given us this information so we can provide the help and support we can provide for you or any of the other ways to interact with us.
In general we collect personal information from you when you:

To update you with important administrative messages whilst being a beneficiary to our services, or other support we provide and that you have requested from The Launchpad Collective

If you do not provide this information, we will not be able to process your data, or provide goods and services you have requested. We may also use your personal information to contact you about our work and how you can support The Launchpad Collective.
Sensitive Personal Information
If you share your personal experience, we may also collect this sensitive information. If you provide us with any Sensitive Personal Information by telephone, email or by other means, we will treat that information with extra care and confidentiality and always in accordance with this Privacy Policy.
A special note about the Sensitive Personal Information we hold
Data Protection Law recognises that some categories of personal information are more sensitive. Sensitive Personal Information can include information about a person’s health, race, ethnic origin, political opinions, sex life, sexual orientation or religious beliefs. If you contact us at The Launchpad Collective through any channel such as emails, you may choose to provide details of a sensitive nature.

4. Legal basis for using your information
There are lawful reasons that allow us to process your personal information, one of these conditions under data protection law is 'legitimate interests'. This means that the reason that we are processing information is because there is a legitimate interest for The Launchpad Collective to process your information to help us to achieve our vision for the beneficiaries we serve.
Whenever we process your Personal Information under the ‘legitimate interest' lawful basis we make sure that we take into account your rights and interests and will not process your personal information if we feel that there is an imbalance.
Some examples of where we have a legitimate interest to process your Personal information are where we use your personal information for data analytics, conducting research to better understand who our supporters are, improving our services, for our legal purposes (for example, dealing with complaints and claims).
We do not rely on consent as our default lawful basis. We use consent only where it is appropriate for optional activities, such as receiving marketing communications, taking part in photographs, recordings or testimonials, or other activities where you have a genuine choice and can withdraw consent at any time.
We may process your personal information under contract where this is necessary to deliver services to job seekers, volunteers, employers, and other people who engage with our services, including training, workshops, mentoring, referrals, volunteer administration, and related support.
We may also process personal information where we have a legal obligation, including safeguarding, fraud prevention, accounting, charity regulation, responding to lawful requests, and keeping records required by law. Where we process special category data or information relating to safeguarding, we will do so only where a lawful basis and an additional condition under UK data protection law applies.
We may process information under legitimate interests where this is necessary for organisational administration, service improvement, analytics, monitoring the effectiveness of our work, managing relationships with partners and supporters, and protecting our organisation, provided that our interests are not overridden by your rights and freedoms.
5. Sharing your Information
The personal information we collect about you will mainly be used by our staff (and volunteers) so that they can support you.
Our services may entail online recordings as part of regular training sessions or workshops, we will gather your consent before carrying out or sharing any such recordings.
We will never sell or share your personal information with organisations so that they can contact you for marketing activities. Nor do we sell any information about your web browsing activity. The Launchpad Collective may share your information with Support Partners who work with us or on our behalf to deliver services. Where sharing is necessary to deliver requested partner support services, we will rely on the appropriate lawful basis, which may include contract, legitimate interests, legal obligation, or consent depending on the circumstances. We take our responsibility seriously to ensure partners store data securely, delete it when they no longer need it and never use it for any other purposes. We enter into contracts with Support Partners, and these contracts outline specific requirements for them to comply with data protection laws and ensure that they have appropriate controls in place to secure your information.
The Launchpad Collective may share your details as part of a petition or similar campaign action to support our work, only where you have chosen to take part.
Legal disclosure
On rare occasions, we may be compelled to disclose your information if required to do so by law (for example, to comply with applicable laws, regulations and codes of practice or in response to a valid request from a competent authority); or, in order to enforce our conditions and other agreements.
6. Keeping your information safe
We take looking after your information very seriously. We use physical, technical and organisational measures designed to protect personal information under our control, both online and offline, from improper access, use, alteration, destruction and loss. These measures include multi-factor authentication, encrypted storage where appropriate, role-based access controls, secure deletion protocols, regular staff and volunteer training, an annual review of this Privacy Policy, and a data breach response procedure in line with UK GDPR requirements.
Unfortunately, the transmission of information using the internet is not completely secure. Although we do our best to protect your personal information sent to us this way, we cannot guarantee the security of data transmitted to our site. Our websites may contain links to other sites. While we try to link only to sites that share our high standards and respect for privacy, we are not responsible for the content or the privacy practices employed by other sites. Any debit or credit card details which we receive on our website are passed securely to our payment processing partner, according to the Payment Card Industry Security Standards.
